OSOTDBAS - USING THE DATABASE MINI-APPLICATION IN THE PRODUCTIVITY FOLDER 01/30/96 ======================================================================= Using the Database Mini-Application in the Productivity Folder OS/2 and OS/2 2.11 ======================================================================= Please Read Entire Document for Full Explanation of Procedures -------------------------------------------------------------- DESCRIPTION Database is a general-purpose, flat-file, database program. It consists of a group of one or more records with each record containing 8 lines (fields), with 30 characters in each field. A Database file can contain up to 5000 records. To find the Database icon: 1. Open OS/2 System. 2. Open Productivity. 3. Select the Database icon. RESOLUTION Limitation: Selecting File, Print, and then All Records, and then selecting File and Print List Format, only prints as many records as fit on one page--not the entire database. The fix was included in Service Pak XR06200 as of March 1, 1994. Following are examples of Database applications. Creating a Computer-Based Rolodex --------------------------------- To open the Database mini-application: 1. Open OS/2 System. 2. Open Productivity. 3. Open Database. Creating a New Database ----------------------- 1. Select File and then New. 2. Select Edit and then Edit line headings. 3. Type the following headings, pressing Enter after each: Company Contact Address City State Zip Phone Fax 4. Select File and then Save. 5. Select Edit and then Add a new record. 6. Type the appropriate information into each field, as follows: Company : ABC Company Contact : Your Name Address : Your Address City : Your City State : Your State Zip : Your Zip Code Phone : Your Telephone Number Fax : Your Fax Number 7. After completing each field, select File and then Save. Note: Notice that the field view area of the database now shows ABC Company. When additional records are added, other company names appear. 8. Repeat steps 5 through 7 for each record. 9. After the records are in the database, select File and then Save As. Type the name you want to use for the database file. The names of the companies are automatically sorted by company name. After saving the database file, exit Database by closing the window. Viewing and Sorting an Existing Database ---------------------------------------- 1. Open OS/2 System. 2. Open Productivity. 3. Open Database. 4. Select File and then Open. 5. Select the file name you want; then select Open. The records can be sorted by any of the headings using the View pull-down menu. This also changes the field that appears in the field view. You can search on any of the database headings, as follows: 1. Move your cursor to the Search key field. 2. Begin typing your search word. Notice that when you type the first letter, the cursor in the field view moves to the corresponding record. The list gets smaller with each letter you type. The record view also changes as you narrow the list, giving you positive feedback on your searches. Editing a Database File ----------------------- 1. Select a record from the Search Key list. The file appears in the Database Edit window. 2. Select Edit. 3. Make your changes to the record. 4. Select File and then Save, or select Exit to exit without saving the changes. Printing a Database File ------------------------ 1. Select File and then Print. 2. Select Current Record Only or All Records. 3. Select File and then Print List Format for a table-style printout of the information. Depending on the width of your printer, you can show 1 to 8 fields in your report. Using the Auto-Dial Feature --------------------------- This feature is available only if you have a modem. 1. Select Customize and then Dial Setup. 2. Select the COM port to be used. 3. Type the Dialing Control Text. If you have a Hayes-compatible modem, type ATDT. 4. Type the HangUp Control Text. Enter +++ATH0 (0 is the number zero) for all Hayes-compatible modems. Note: If you have a special asynchronous or non-Hayes compatible modem, refer to the user's manual for the correct strings. 5. Select the Set push button to set the dialing functions. 6. To use the auto dialer, locate the record in the database file; then select File and Dialing Function. A menu appears showing all numbers in the record. Study the numbers carefully--there are no line headings to tell you which number is the telephone number. 7. Select the telephone number by clicking on the button next to it. 8. When you click on Select, the database automatically dials the number for you. Make sure you have a handset ready to listen for the phone to ring. When you hear that the phone is ringing, press Enter.
